Financial Services Administrative Assistant

Description

Our Client is seeking a highly organized and proactive Financial Services Administrative Assistant to support one financial advisor remotely. This is a part-time, contract position (1099) requiring a strong knowledge of the Redtail CRM system and familiarity with the LPL Financial network. The ideal candidate will be part of the LPL network and have experience in administrative tasks, client services, compliance, and marketing support.

REMOTE: Must be able to support EST working hours

HOURS: 10-15 hours per week

PAY: $25-35/hour 

Key Responsibilities

Redtail CRM Administration:

  • Create and maintain workflows, activity templates, email templates, and automations
  • Ensure calendar tasks and activities are up to date, with nothing falling behind
  • Regular workflow and data maintenance, including reviewing and optimizing existing processes
  • Manage contact accuracy and send out blast emails

Client Services:

  • Handle client scheduling during surge months
  • Provide follow-up communications with clients and team members
  • Answer client calls and assist with their inquiries
  • Process payments through AdvicePay and manage MyRepChat interaction
  • Oversee account administration, including account openings

Compliance:

  • Submit, follow up, and gain approval for marketing and other materials
  • Ensure compliance by maintaining monthly correspondence and managing CRS forms
  • Keep ADV documents up to date for inclusion in new client packets

Administrative Support:

  • Manage calendar and appointment scheduling effectively
  • Organize and participate in team calls, one-on-one meetings, and client calls
  • Assist with email campaigns.
  • Track and report on marketing campaign performance
  • Manage LinkedIn activities, including posts and invitations

Requirements

  • Must be part of the LPL Financial network & have used the ClientWorks platform
  • 2+ years of experience in a similar role
  • Proficiency in Redtail CRM is required
  • Strong organizational skills and ability to manage multiple tasks simultaneously
  • Experience in client service, compliance, and administrative support
  • Familiarity with financial services industry terminology and practices
  • Ability to work independently and communicate effectively with team members and clients
