The Role
We are seeking a detail-oriented professional with expertise in US payroll tax, sales tax, GAAP compliance, and general accounting regulations. This individual will be responsible for ensuring timely and accurate tax filings, managing employee tax data, staying updated on related US legislation, and collaborating with internal teams to maintain compliance across payroll, sales tax, and accounting functions. The ideal candidate will have experience navigating complex regulatory requirements, liaising with tax authorities, and supporting internal audits.
Responsibilities
- Ensure timely and accurate preparation and submission of payroll tax filings (e.g., Forms 941, 940, W-2, W-3), sales tax filings, and other regulatory filings across applicable jurisdictions.
- Register for new payroll tax and sales tax accounts as needed due to business expansion or remote workforce coverage.
- Reconcile payroll tax liabilities, sales tax obligations, and payments regularly, resolving discrepancies as needed.
- Monitor and stay informed on changes in payroll tax legislation, sales tax laws, GAAP, and other accounting regulations, ensuring compliance.
- Manage and maintain employee tax data, including tax jurisdictions and residency details.
- Respond to tax notices and inquiries from authorities, coordinating resolutions with internal and external stakeholders.
- Collaborate with HR, Payroll, and Accounting teams to ensure accurate processing and reporting of wages, benefits, deductions, and taxes.
- Assist in year-end tax processing, including W-2 distributions and final sales tax filings.
- Recommend improvements and automation opportunities to enhance payroll tax, sales tax, and accounting compliance efficiency.
Job Requirements
Professional background
- Bachelor’s degree in Accounting, Finance, or a related field; CPP (Certified Payroll Professional) or similar certification a plus
- 3+ years of experience in U.S. payroll and sales tax compliance, preferably in a multi-state environment
- In-depth knowledge of federal, state, and local payroll and sales tax regulations
- Familiarity with payroll systems (e.g., ADP, Workday, Paychex, UKG) and tax reporting tools (Avalara, Anorak, TaxJar)
- Strong analytical and reconciliation skills
