Position Summary: 

The Professional Services Operations Specialist at Perforce Software plays a pivotal role within the Professional Services division. Reporting to the Manager, Professional Services Operations, this individual supports the operational processes, ensuring the division runs efficiently and effectively. The Specialist focuses on executing operational tasks, maintaining data integrity, and supporting the broader objectives set by the Manager. The ideal candidate thrives in ambiguity, always seeking clarity and refining and is highly skilled in navigating a fast-paced, complex operating environment. 

Operational and Process Support:

    • Assist in executing the operational objectives set by the Manager, ensuring alignment with the business goals of the Professional Services department. 
    • Facilitate the smooth running of daily operations, addressing operational challenges as they arise. 
    • Implement and adhere to processes and best practices set by the Manager, identifying potential areas for improvement. 
    • Lead root cause analysis and resolution of complex business problems and recommend solution options to management to enable the organization to achieve goals. 
    • Independently analyze complex business needs and advise on system and process change opportunities. 
    • Evaluate and recommend alternative methods and explore the adaptation of policies, procedures, standards, techniques, materials, and systems to provide the best solution and gain overall operating efficiencies. 
    • Contribute to the central repository for PS Operations-related processes and assets. 

Data Management, Reporting, and Quality Assurance:

    • Ensure accurate data entry and maintenance in tools like Kantata OX (formerly Mavenlink), Salesforce, and Metabase. 
    • Assist in generating reports and insights for stakeholders. 
    • Regularly review and validate data, ensuring alignment with standards set by the Manager. 

Tool Utilization and Training:

    • Actively use and maintain tools like Kantata OX (formerly Mavenlink), providing feedback and insights on tool utilization. 
    • Assist in organizing and executing training initiatives, staying updated with the latest tools and processes. 

Onboarding and Contract Management:

    • Support the Manager in the onboarding process for new staff or contractors. 
    • Assist in tracking and monitoring supplier contracts and SOWs, maintaining a detailed database of key contract details. 

Scheduling and Customer Feedback Management:

    • Schedule resources for projects driving for 65% billable utilization while providing excellent customer service. 
    • Support the customer satisfaction system, ensuring timely feedback collection and reporting. 

Financial Support:

    • Support the Manager in budgeting processes and provide necessary data and insights. 
    • Monitor and remind consultants to submit their time entries and expenses, assisting in generating necessary reports for the Finance department. 
$68,200 - $96,325 a year

The actual offer will depend on a number of factors including, but not limited to, a candidate’s education, skills, qualifications, depth of experience and other relevant business considerations.
