Work Schedule: 40 hours per week, with core hours between 9 AM – 6 PM EST

Locations: Remote, open to candidates in South America (LatAm)

Role Overview:

The Operations Associate role is responsible for overseeing daily operations, providing high-level assistance to the CEO, managing client and partner communication, and supporting marketing and sales initiatives. This role requires a balance of operational efficiency, organizational skills, and effective communication across various business units.

Your Impact:

This position is vital in ensuring smooth daily operations and executive support, enhancing client relationships, and driving growth through marketing and sales support. By streamlining processes and managing key communication, the role significantly contributes to overall business efficiency and success.

Key Responsibilities:

1. Operations Support:

  • Manage daily operations and ensure efficient workflow across multiple business units.
  • Streamline processes and improve operational efficiency.
  • Monitor project progress, report on milestones, and suggest improvements as needed.

2. Executive Assistance:

  • Provide high-level support to the CEO, including complex calendar management, travel arrangements, and handling confidential information.
  • Schedule and coordinate meetings across multiple time zones and stakeholders.
  • Prepare meeting materials, reports, and presentations.

3. Client & Partner Communication:

  • Serve as the primary point of contact for clients and external partners.
  • Draft and review correspondence, presentations, and other key documentation.
  • Ensure timely communication and follow-up on client inquiries.

4. Marketing & Sales Support:

  • Assist in the development and implementation of marketing strategies.
  • Manage CRM and outreach tools to support lead generation and client onboarding.

Immediate tasks anticipated for the candidate to fully own on week 1:

  • Get acquainted with the team and understand the company’s mission and values.
  • Schedule introductory meetings with key team members and stakeholders.
  • Take full ownership of the CEO's calendar and begin handling complex scheduling.
  • Organize and manage digital files, presentations, and other project materials.
  • Begin supporting ongoing initiatives, including tracking and consolidation.

Requirements

Must-Have:

  • At least 2 years of proven experience as a Content Planner, or in marketing-related roles.
  • Proficiency with LinkedIn, including understanding different content placements and advanced tools like Sales Navigator.
  • Experience using tech platforms such as Slack, Notion, and Asana.
  • Ability to pull and analyze performance data from LinkedIn.
  • Strong command of English, both oral and written.
  • Excellent communication skills.
  • Excellent planning and project management skills.

Nice-to-Have:

  • Experience working with remote teams.
  • Bilingual proficiency in Spanish.
