Job Description

Project - the aim you'll have: 

We are currently looking for an HR & Payroll Specialist or Senior Specialist to join our HR and payroll team. In this role, you will be responsible for the comprehensive administration of employee HR and payroll processes. Your main focus will be ensuring that all HR and payroll operations comply with applicable labor laws, social security, tax regulations, and GDPR. 

As a part of a collaborative and experienced team, your responsibilities will include supporting day-to-day HR operations, maintaining the accuracy and efficiency of internal processes, and serving as a key point of contact for employees and other internal departments. We are seeking a proactive, detail-oriented professional who is comfortable working independently and eager to take ownership of their responsibilities. 

Position - how you'll contribute: 

  • Managing full HR and payroll processes, including employment contracts and civil law contracts 
  • Maintaining and storing electronic personnel files and employee documentation in compliance with applicable regulations 
  • Operating HR and payroll software, along with internal HR applications 
  • Calculating payroll for full-time employees, contractors, and members of the management board 
  • Preparing ZUS, PIT, PPK, PFRON declarations, and GUS reports for the company 
  • Preparing bank transfers related to salaries and third-party payments (ZUS, Tax Office, PFRON, PPK) 
  • Ensuring compliance with occupational health and safety (OHS) training, medical check-ups, and legal employment requirements 
  • Preparing reports and basic HR and payroll analyses 
  • Supporting internal and external audits related to the HR and payroll area 
  • Assisting in the creation and updating of internal company policies and regulations 

Qualifications

Expectations - the experience you need: 

  • Minimum 2-3 years of experience in a role involving independent, comprehensive HR and payroll administration 
  • Knowledge of HR and payroll systems (Enova knowledge is a plus) and MS Office suite, especially Excel 
  • Good command of English, sufficient for independent verbal and written communication related to your tasks 
  • Understanding of the Polish social security system, labor, tax, and social insurance laws 
  • Strong attention to detail and ability to manage multiple tasks simultaneously 
  • Team player with good communication skills 
  • Proactive approach to work and initiative in driving improvements
