The Executive Assistant provides executive support to the Executive Vice President, Chief Operating Officer (EVP/COO). They serve as the EVP/COO's primary point of contact for internal personnel and external contacts. The Executive Assistant also serves as a liaison to the board of directors and organizational leadership teams; organizes and coordinates outreach and external relations efforts; and oversees special projects. They work on projects from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant must be able to strategically manage and book the EVP/COO's business and travel arrangements, plan meetings, filter requests and sort/filter mail and/or emails of a confidential nature.

Software Proficient. Demonstrates proficiency in office software, especially with Excel, PowerPoint, and Outlook, and can quickly learn and adapt to new tools to enhance efficiency.
Adaptable. Exhibits strong problem-solving skills by quickly addressing unexpected challenges, proactively anticipating issues, showing initiative while adapting to shifting priorities, and remaining calm and effective under pressure, especially during busy or high-stakes situations.
Proactive. Takes initiative by leading tasks without constant direction, anticipating needs, and planning ahead for meetings, travel, and projects while being dependable, punctual, and consistently following through on commitments with diligence and a high level of accuracy and responsibility.
Mission, Vision & Values Alignment. Demonstrates an understanding of and a commitment to SPLC's mission, vision and values.
Coordinate and schedule internal and external meetings, events, and appointments, prioritizing high-priority engagements. Effectively manages the EVP’s time between meetings, strategic planning, and personal commitments while organizing travel arrangements, including flights, accommodations, and transportation for business trips.
Screen emails, phone calls, and other communications on behalf of the EVP, responding or redirecting as needed, while drafting correspondence such as memos, letters, and reports, and serving as a liaison between the EVP and internal/external stakeholders to ensure smooth communication across departments and partners.
Create, manage, organize, and maintain the EVP’s documents, including reports, presentations, contracts, and confidential information, while assisting in preparing materials for meetings and strategic discussions and ensuring key documents are properly filed and easily accessible.
Assist in the management and tracking of key initiatives and special projects, ensuring deadlines are met and priorities aligned, while coordinating with cross-functional teams to meet objectives, maintain consistent communication, and provide regular updates to the EVP on project status and priorities.
Manage confidential information and discussions with the utmost discretion and integrity, ensuring the confidentiality of documents, internal communications, and high-level business strategies or decisions involving proprietary or sensitive information.
Proactively identifies potential issues, opportunities, or needs before they arise, taking appropriate action to support the EVP, and adapting to changing priorities by providing flexible assistance with both short-term tasks and long-term projects.
Coordinate with other executives, executive assistants, and departments to ensure alignment with the EVP's goals and priorities, while supporting team members by providing the necessary resources or information to complete their work.
Support the EVP's decision-making and strategy formulation by assisting with research, data gathering, and analysis, offering solutions for problem-solving, providing insights through tracking key performance indicators and analyzing reports, and managing the EVP’s departmental budget, expenses, and financial reports to ensure alignment with company goals and timely submission of expense reports.
Perform other duties as required or assigned which are reasonably within the scope of the duties in this job.

This is a non-exempt role, and the minimum starting salary is $73,832 ($35.49/hr.) annually.
