Casco Bay Lines is seeking an Administrative Assistant, to be based in their Portland, ME office. The Administrative Assistant is responsible for the administration and record keeping of District business, provides information to the public and supports Department Heads, General Manager and Board of Directors.  

Job Requirements for the Administrative Assistant:

    • 2+ years of experience as an Administrative Assistant, Executive Secretary or equivalent training or education. 
    • Ability to organize and prioritize a multi-faceted workload; ability to make independent decisions in accordance with established policies and procedures; ability to follow through tasks and meet deadlines without supervision. 
    • Ability to establish and maintain good working relationships with various constituencies, including co-workers, supervisors, members of the public and other stakeholders. 
    • Strong experience with Office 365, online meeting platforms, or other similar software programs. 
    • Ability to commute to the office location in Portland, ME

Responsibilities of the Administrative Assistant:

    • Assist General Manager and Department Heads through word processing, filing, organizing, scheduling, postings and other tasks. 
    • Supports the Board of Directors through meeting notifications (such as WebEx), preparation and distribution of Board and Committee packages and taking minutes at Board and Committee meetings.  
    • Maintain online calendar, printed calendar and send public meeting notices. 
    • Assist Sales Director as backup, by responding to information requests and maintaining charter information and payments. 
    • Maintain office equipment and order office supplies; maintain all outgoing mailings and operate postage meter. 
    • Manage the annual election of Board members, including production and distribution of ballots and all legal requirements for posting, notification and storage. 
    • Maintain company bulletin boards with mandatory Federal and State posters. 
    • Maintain corporate files, incident and injury reports, donation requests. 
    • Assist with data entry of vessel logs and ridership reporting through ridership tracking software.
