Acumatica Purchasing Assistant

We are seeking a detail-oriented and proactive Purchasing Assistant to join our team. In this role, you will be responsible for supporting the purchasing department in material planning, coordinating shipments, and ensuring the timely and efficient processing of purchase orders. The ideal candidate will possess strong organizational skills and have experience working with Acumatica software.

As a Purchasing Assistant, you will play a critical role in ensuring that our inventory and supply chain processes are optimized. Your contributions will help ensure that goods are ordered, tracked, and delivered in a timely manner, supporting the business's operational and production needs.

Key Responsibilities:

    • Material Planning: Assist in the planning and tracking of materials and supplies based on inventory levels, production schedules, and forecasted demand.
    • Shipment Consolidation: Work with vendors, suppliers, and logistics teams to consolidate shipments from China, ensuring cost-effective and efficient transportation.
    • PO Updates & Entry: Regularly update and maintain Purchase Orders (POs) in Acumatica, ensuring accurate and up-to-date records.
    • PO Follow-up: Follow up with suppliers and vendors to ensure timely delivery of goods and resolve any discrepancies or delays in the order process.
    • Vendor Communication: Establish and maintain positive relationships with vendors and suppliers, communicating any issues regarding product availability, delays, or changes in delivery schedules.
    • Inventory Monitoring: Track inventory levels and work with the teamto prevent stock outs or overstock situations, providing recommendations based on material planning needs.
    • Documentation & Reporting: Ensure all purchasing documentation is complete and organized, and prepare regular reports on open Pos, and order status.

Qualifications:

    • Experience: 2+ years of experience in purchasing, procurement, or supply chain management.
    • Software Experience: Strong experience with Acumatica for PO entry, updates, and reporting is required.

Skills:

    • Strong material planning and inventory management skills.
    • Ability to coordinate and consolidate international shipments (especially from China).
    • Proficiency in MS Office (Excel, Word, etc.).
    • Excellent communication skills, both written and verbal.
    • Detail-oriented and able to handle multiple tasks in a fast-paced environment.
    • Education: Associate degree or equivalent experience in a related field.

Preferred Qualifications:

    • Experience in an international supply chain environment, particularly with vendors in China.
    • Familiarity with basic import regulations and shipping procedures
